5 Step Recipe to Prepare Your Next Live Event Production Workflow

We all know that live event videos are proven winners. But hitting the spot with a flavorful quick-turn video could be the ultimate way to wrap up that huge event you’ve got coming soon.

Whether you’re running a conference, product launch or other live event, we’ve seen quick-turn videos as amazing content strategies for recapping the action and providing both an immediate and lasting experience for attendees.

And they don’t just leave your guests on a high. They’re perfect social content, too – building valuable insights into your brand and strengthening your online community at a stroke.

In the past, creating a video by combining reels of the film was a difficult task that took a lot of time. However, with the use of Cinebody, a live event production software, producing a quick-turn video has become more accessible. To maximize the value of this crowdsourcing tool at your next event, follow these five simple steps.

1. Eliminate all possible delays

Revisions can cause the most delays in the editing process, so remove as many hurdles as possible in advance. Lock in your music selection, make sure your export specs are approved, and get early sign off on graphical templates and animations a few days to a week prior to the event.

2. Do your prep

Build your Cinebody project, brand it, and create a precise shot list to direct your team to capture the footage you need. Having a general understanding of what the final video will look like can help you outline the project’s key four to six shots (our recommended number.)

3. Pin down your key filmers

Yes, you want as many filmers as possible: the more people shooting with their phones, the more perspectives and authentic content you’ll receive. But it’s key to identity at least two individuals who’ll have specific filming responsibilities (i.e. your a-cameras.) Walk them through the project beforehand and send them any relevant examples so they can have a clear picture of what they’re being asked to film.

4. Set a clear schedule

When are the event’s key moments? When will the first footage start arriving? And when is the video’s delivery time? Getting these notes clear and agreed upon in advance is crucial to keeping your team aligned and on track together.

5. Start as soon as possible

Once the filming starts and footage begins uploading, don’t hold back on post-production: get started immediately. Start editing promising shots and use push notifications to deliver real-time direction to your team of filmers. Because when the heat is on, good communication is key to making sure you get the shots, soundbites and angles you need to make your video.

And that’s it. If you timed it right, you’ll be adding your final clips and exporting the video within minutes of the event concluding – just like adidas and iProspect did. It’s the perfect recipe for a quick-turn video feast!
